If you're interested in becoming a part of our dynamic P&C team or want to learn more about our upcoming events and initiatives, please don't hesitate to get in touch. We are always eager to welcome new members and partners who share our passion for education and community building.

Becoming a part of the P&C is a great way to get involved in your child’s education and get to know the school staff and other parents. We aim to provide a fun, inclusive and welcoming community of volunteers.

Become a Member of the P&C

Join the Moss Vale Public School P&C Now and support the school.

Becoming a member of the P&C is easy and means that you'll receive all the minutes of our meetings and will be able to have your say on what we do and how we do it.

Only financial members of the P&C are able to raise and vote on motions at meetings. This is how all our big decisions are made, such as how to spend the money we raise.

The membership fee is a nominal $2 per year.

Joining is a simple two-step process:

P & C Roles

The P&C office bearers are elected at the Annual General Meeting in March each year. Each year all positions are vacated and any current P&C member is welcome to nominate for a position.


President

The President is responsible for:

  • The successful functioning of the P&C Association meetings

  • The attainment of the P&C Association’s objectives

  • Ensuring that the P&C Association takes part in decision-making processes in the school

  • Fostering fair participation of all members and ensuring that all new members are made to feel welcome

  • Supporting volunteers

  • Consistent adherence to the constitution

  • Acting as the P&C Association’s spokesperson when public statements or actions are needed

  • Setting up lines of communication with the Principal

  • Being signatory on the Association’s bank accounts

  • Chairing meetings.


P and C Secretary

Secretary

The Secretary is responsible for carrying out the administrative tasks related to the decisions of the meetings as resolved.

The Secretary is responsible for:

  • Preparing, in consultation with the President, all meeting agendas.

  • Attending P&C Association meetings and taking notes of the discussions in order to produce a set of Minutes for subsequent distribution to members and for receipt, possible amendment and adoption at the following meeting.

  • Receiving and tabling all correspondence, as well as writing and dispatching outgoing correspondence as resolved/appropriate.

  • Issuing notice of all meetings and maintaining official records of the P&C Association such as the constitution, by-laws, rules of subcommittees, Incorporation Certificate, ABN details, list of financial (voting) members, Minutes, Attendance book.


Treasurer

Whilst all P&C members must be mindful of complying with financial accountability requirements, this is the Treasurer’s primary responsibility. The Treasurer is responsible for:

  • Receiving and depositing monies, maintaining records, drawing cheques and presenting accounts.

  • Ensnsuring that all funds held and handled by P&C are properly and openly accounted for as the Treasurer is responsible for all funds held in the name of the P&C Association. This includes all P&C Association committees.

  • Being a signatory on the P&C accounts (and should not delegate this responsibility).

  • Encouraging members to understand the state of the P&C Association finances.

  • Ensuring a case book or books are kept, recording all financial transactions of the P&C Association.

  • Preparing the budget and making recommendations based on expenditure and projected cash flows.

  • Making recommendations about surplus funds. Surplus funds may be lodged as term deposits with any financial institution that has full trustee status.

  • Producing a full statement of financial position each year, declaring all funds held in the name of the P&C Association, including those of sub-committees, along with the Secretary who presents the Minute book of the same period to the Auditor.


P and C Vice President

Vice Presidents

The two (2) Vice Presidents support the President in their role, and act as back-up for the President as necessary. They therefore have the same responsibilities as the President, as delegated by the President, but are not automatically a member of all P&C sub-committees, unlike the President.

Here’s what they do:

  • take part in P&C subcommittees

  • take part in school panels

  • work with the President to communicate with the school and represent P&C members

  • help set the agendas for general meetings

  • chair P&C meetings when the President isn’t around.


Sub-Committees

Our sub-committees are filled with the people who really have the ideas and make things happen.

The convenor for each of these subcommittees is elected at the AGM. The convenors are responsible for leading the group and making sure its jobs get done, scheduling and minuting meetings and reporting back to the full P&C at general meetings. The convenors of the Fundraising, Country Fair and Comms sub-committees are automatically members of the Executive Committee, in recognition of the effort they put into their roles.  

Members of subcommittees are appointed at the AGM, but you can also join at any time during the year, and you don’t need to be on a subcommittee to volunteer. 


Fundraising Convenor

The Fundraising Convenor is responsible for:

  • Scheduling fundraising events into the school calendar.

  • Helping plan and run upcoming events.

  • Developing marketing strategies to promote the event and attract attendees, including advertising and social media campaigns.

  • Managing logistical aspects such as signage, event set up and waste management to ensure a smooth and safe experience for attendees.

  • Recruiting and coordinating volunteers to assist with various tasks before, during, and after the event, such as setup, serving, and cleanup.


Clothing Pool Convenor

The Clothing Pool Convenor is responsible for:

  • Selling low-cost uniform second-hand uniforms from the clothing pool.

  • Helping families donate pre-loved uniforms.

  • Sorting, washing and organising donated items ready for sale.

  • Managing the shopfront.

  • Recruiting and training volunteers.

  • Managing volunteer roster.

  • Helping sort lost property.


Country Fair Convenor

The Country Fair Coordinator is responsible for co-ordinating a team of volunteers who plan, organise and oversee all aspects of the country fair.

Their responsibilities include:

  • Developing a comprehensive plan for the fair, including setting dates, selecting rides, and determining the overall theme and activities.

  • Securing rides, exhibitors, and concessionaires for the fair, negotiating costs, and ensuring compliance with regulations and guidelines.

  • Arranging for entertainment such as live music, performances, demonstrations, and other attractions to engage attendees.

  • Developing marketing strategies to promote the fair and attract attendees, including advertising, social media campaigns, and sponsorship with local businesses or organisations.

  • Managing logistical aspects such as parking, signage, security, and waste management to ensure a smooth and safe experience for attendees.

  • Recruiting and coordinating volunteers to assist with various tasks before, during, and after the fair, such as setup, ticketing, and cleanup.

  • Creating and managing the event budget, including allocating funds for expenses such as rentals, entertainment, marketing, and security staff.

  • Obtaining necessary permits and licenses for the fair and ensuring compliance with regulations and safety standards.

  • Securing sponsorships from businesses, organisations, or individuals to offset costs and generate revenue for the fair.

  • Collecting feedback from attendees, vendors, and volunteers to evaluate the success of the fair and identify areas for improvement for future events.

Overall, the Country Fair Coordinator plays a pivotal role in bringing together various elements to create a memorable and successful community event.


Comms Coordinator

The Communications Coordinator manages communication channels between the school, the P&C, parents and community members and they are responsible for:

  • Developing strategies to attract new volunteers to the Comms team and communicating opportunities through various channels such as social media, the P& C website, email newsletters, the P&C noticeboard and community events.

  • Organising schedules and tasks for volunteers, ensuring that each activity or event has sufficient volunteer support.

  • Planning the Comms calendar for the year around all P&C and school events.

  • Overseeing the P&C website.

  • Serving as the main point of contact for all comms, disseminating information about upcoming events, changes in schedules, or other relevant updates.

  • Collaborating with other school staff or committees to ensure that volunteer efforts align with the school's goals and objectives.

Overall, the Communications Coordinator plays a crucial role in fostering a positive and efficient communication program within the school community.


Grants Officer

The Grants Officer is responsible for managing the process of seeking, securing, and managing grants for the school and the P&C. Their responsibilities include:

  • Identifying potential grant opportunities from government agencies, foundations, corporations, and other sources that align with the school's needs and goals.

  • Writing grant proposals and applications that effectively communicate the school's objectives, programs, and how the grant funds will be used to benefit students, staff, and the community.

  • Collaborating with school administrators, teachers, and other stakeholders to develop project ideas and initiatives that align with grant requirements and objectives.

  • Developing budgets and financial plans for grant-funded projects, including estimating expenses, allocating funds, and ensuring compliance with grant guidelines.

  • Overseeing the implementation of grant-funded projects, ensuring that activities are carried out according to the grant agreement, timelines are met, and reporting requirements are fulfilled.

  • Ensuring that the P&C adheres to all regulations, policies, and reporting requirements associated with each grant, including submitting progress reports, financial statements, and other documentation as needed.

Overall, the Grants Officer plays a crucial role in securing external funding to support the school's initiatives, enhance educational opportunities, and meet the needs of students and the broader school community.


Representatives on school panels and working groups 

At the AGM the P&C also appoints reps to sit on school’s: 

  • Merit selection panel 

  • Out of area enrolments panel. 

These people are called on to help out the school on an ad hoc basis when needed.
